SFMA Office Manager/Event Planner Coordinator 

Office Manager/Event Planner Coordinator, the Opportunity:

The SFMA seeks a dynamic, energetic, detailed oriented, analytical, organized and forward thinker individual to fill the position of Office Manager/Event Planner Coordinator. This person will be an integral part of the team working with the SFMA President, Member Services Manager, business advisors, and board of directors on overall office procedures and administrative duties. This person will also work with SFMA committee volunteers as needed.

  • Essential Duties and Responsibilities:
  • Financial Accounting and Bookkeeping:
  • Manages the SFMA’s QuickBooks account. Ensures and maintains accurate and timely entry of revenue recognition and filings of other related operational matters in spreadsheets and QuickBooks. Also responsible for invoicing and billing on all related SFMA matters.
  • Responsible with working with SFMA’s partner
  • FloridaMakes on monthly billing statements.
  • Responsible for ensuring timely filing of state required
  • SFMA forms and communications.
  • Responsible for working with SFMA’s treasurer in the timely accounting of the SFMA’s operations, preparation of financial documents for monthly board meetings and other accounting purposes.

Database, Documents, and Website Updates:

  • Maintains accurate and current member databases and other pertinent documents using Salesforce CRM for both existing and potential members.
  • Attends monthly SFMA Board Meetings and records minutes from each meeting. Prepares the final report for SFMA President review. This person may also provide updates and reports to the board relevant to SFMA administrative/operational items, only as requested by the SFMA President.

Event Management:

  • Planning and logistics of SFMA’s events.
  • Collaborate with the SFMA Membership Manager to create, execute, and implement an ongoing calendar of events across the SFMA territory. These are both virtual and in-person.
    Coordinate the planning, managing, and execution of SFMA’s large conference style events across the SFMA region. These events normally have hundreds in attendance.
  • Measures and tracks the success of events held utilizing spreadsheets and QuickBooks.
  • Present, visible, and recognizable to members at SFMA events.

Membership Engagement:

  • Collaborate with the SFMA Member Services Manager, as needed, with new member orientations/on-boarding processes (both internal and external).
  • Ensures timely and accurate fulfillment of staff, board, executive team, and member requests.
  • Supports the SFMA/FloridaMakes partnership in all matters relating to new and existing members. This would include, for example, scheduling business advisory services appointments with members, assisting with member surveys and grant development, and other related matters as directed.
  • Marketing and Member Communication:
  • Collaborate with SFMA Membership Services Manager in creating membership information delivery and collateral material – including e-mail, e-newsletters, brochures, and other publications/mailings.
  • Assists the SFMA’s webmaster with creating the SFMA’s monthly newsletter.
  • Collaborate the SFMA Membership Services Manager with utilizing social media platforms to communicate important
  • SFMA messaging and promote SFMA events and other related matters.

Other Duties:

  • Manages the membership renewal invoice process.
    Manages the overall invoicing process.
    Other duties as assigned by the SFMA President

Minimum Qualifications:

  • Associate degree is required
  • Minimum 3-5 years office management work required. An equivalent combination of education and experience may be considered.
  • Experience in organization corporate events with large attendance.
  • Great communicator and interpersonal skills.
  • Has a valid driver’s license and may need to work some evenings, when needed.
  • Ability to attend and be the support person at all SFMA events. Which may be held throughout the day and some evenings.

Knowledge, Skills and Abilities Required:

  • Excellent customer service, time management, and organizational skills.
  • Excellent writing skills and strong interpersonal skills.
  • Familiarity using spreadsheets and CRM tools to manage processes. If no familiarity with CRM’s, a demonstrated ability to quickly learn new technology will be required.
  • Intermediate to advance skills in Microsoft Office (Word, Excel, and PowerPoint).
  • Bilingual: Possesses fluency in both English and Spanish is preferred, but not required.

This position offers a competitive salary based on education and related experience. This position also includes benefits: health insurance, 401k, mileage reimbursement, and a cell phone allowance.
